Centre for Sustainability Leadership Privacy Policy
At the Centre for Sustainability Leadership (“the Centre”), we are committed to protecting the personal information of our volunteers, interns and participants in the Future Sustainability Leaders program (“FSL program”). When or before we collect personal information from you, we will make every reasonable attempt to inform you of:
- The purpose for which the information is collected and its intended use;
- To whom we will disclose that information;
- Where applicable, any law requiring information to be collected; and
- The main consequences if all or part of the information is not provided.
In general, we collect your personal information for the following purposes:
- To assess applications for volunteer positions, internships and admission to the FSL program;
- To manage your participation in volunteer activities;
- To manage your participation in the Internship program;
- To manage your participation in the FSL program;
- To manage your participation in the FSL residential retreats; and
- To facilitate your participation in the FSL alumni program;
What does your personal information include?
Personal information means information or an opinion concerning you. It may include your contact details, academic results, references, opinions about your academic performance, work experience or performance and any other information obtained by the Centre relevant to your participation in volunteer activities, the Internship program or the FSL program.
Personal information may include sensitive information, including information or opinion about health issues. We generally do not seek to collect such sensitive information however sometimes it may be important to your well being. Such sensitive information, in most cases, may only be collected and disclosed with your consent or if required by law.
How is personal information collected?
We obtain most of our information from you directly:
- When you submit an application or fill out our forms;
- Each time we have contact with you;
- When we collect particular personal information about you; and
- Individually from enquiries of your academic institutions, employers and others who have offered to act as your referee.
How your personal information is used and disclosed?
Unsuccessful applicants
Your personal information may be used by us in connection with:
- Promoting future volunteer positions, Internship opportunities or FSL program openings; and
- Promoting other courses, events and fundraising activities run by CSL.
Current participants
Your personal information may be used by us in connection with:
- Your participation in the various courses and activities within the Centre;
- Management of your participation in the FSL program including the residential retreats, the payment of fees, the Mentorship program and allocation to project groups;
- Management of your participation in the Internship program including training, orientation tours and assignment of projects;
- Providing references at your request to third party such as potential employers;
- Fundraising;
- To assist us to improve the FSL program or Internship program, where your consent has been obtained; and
- To promote the FSL program or Internship program to the community, where your consent has been obtained.
Former participants
Your personal information may be used by us in connection with:
- Management of the FSL alumni program;
- To enable us to inform alumni about FSL alumni activities; and
- Fund raising activities.
To whom is your personal information disclosed?
Your personal information may be disclosed to:
- The Centre’s directors, staff, advisors and FSL tutors;
- FSL participants and alumni;
- Other Interns;
- Mentors;
- Our auditor;
- Your referees;
- Any person with lawful entitlement to obtain the information; and
- Medical or emergency personal, in case of illness, accident or emergency.
Your consent to the above disclosures is taken to have been given when you submit your personal information to the Centre. Further, as we have a public interest duty to co-operate with law enforcement agencies and to prevent any threat to life, health or safety of any person, we may have to disclose your personal information for such purposes.
If for any reason you decide not to provide certain personal information, we may be restricted in our ability to admit you to participate in volunteer activities, the Internship program or the FSL program.
Data quality
The personal information collected from you at the time of your application for admission and initial interview is assumed by the Centre to be accurate, complete and up to date. If at any time you believe this personal information is no longer accurate, complete or up to date please advise us accordingly.
Data Storage and Security
We have taken reasonable steps to protect your personal information from misuse or loss or unauthorised access. We hold your personal information in computers and paper based files.
Paper records are securely stored in the Centre for Sustainability Office (Torquay). Electronic records are password protected and accessible by authorised persons only.
Your right to access your personal information
We acknowledge that you may want to access your personal information held by us and if necessary to have information corrected, updated or made more complete.

n some circumstances, we reserve the right to refuse access to your personal information. Such circumstances include, but are not limited to requests that:
- Are frivolous or vexatious;
- Concern information relating to existing or anticipated legal proceedings between the Centre and yourself;
- Require access that would be unlawful; and/or
- Would be likely to prejudice the prevention, investigation and prosecution of any criminal offence or seriously improper conduct.
Privacy Act 1988 (Cth)
New Privacy provisions in the Privacy Act 1988 (Commonwealth) affecting the private sector came into operation on 21 December 2001. Although not required by law, the Centre aspires to comply with the provisions of the Act and this Policy is written with a view to promoting such compliance.
